At Branäs ski resort in Sweden, guests could already go straight to their accommodation area without visiting a central reception. Staff still had to prepare the keys for their arrival.
Most guests collected their key in an envelope. Before guests arrived, staff prepared the envelopes, organised collection and made sure everyone received the right key. Guests no longer had to visit reception, but handing over the keys still involved manual work.
When large numbers of guests arrived, preparing envelopes and organising collection put pressure on staff. There was also a risk that a guest might take the wrong key.
Branäs addressed this by connecting its booking system with key handover and the systems that manage access to the accommodation.
From booking details to key collection
Each partner has a clear role in the Branäs setup:
- r360 manages booking and guest information.
- Inlet connects the systems and passes the required booking information between them.
- LivionKey automates the handover of physical keys.
Before arrival, guests receive a code by text message that lets them collect their key from a LivionKey Key Automat in their accommodation area. They can return the key to an automat at the end of their stay. Branäs can track both collections and returns.
Less work, smoother check-in
Staff no longer need to prepare key envelopes, and Branäs says its check-in procedures are now more consistent.
“We save many working hours, and at the same time the check-in experience is smoother and safer for our guests.”
Sofia Zika, Head of Guest Services & System Development, Branäs
