LivionKey Register

LivionKey register is a system for managing keys and automating their processing.The system is easy to use and take into use. There are no restrictions on the number of users, the number of locations/properties or the number of keys and it works 24/7. LivionKey provides a way to manage all your keys.

LivionKey register contains the following functionalities:
1. User management
2. Management of the hierarchical structure of locations, ie organizational structure (eg country, city, region, building) and the possibility to grant access rights to users at each hierarchical level.
3. Key management: add, remove, edit. 
4. Key processing (handover/return), manually or by LivionKey automat.
5. Alarm logs.
6. Event logs of key processing
7. Usage reports for the selected organizational level or building


1. User management 

This feature allows to manage all the users who have access rights to LivionKey register software. All the users has the access to browser-based software, but only the users with administrator status have the right to manage other users.
The basic user of the program can be granted access rights to all locations or only to a specific location, e.g. a building or buildings in a certain city.


2. Management of the hierarchical structure of locations, ie organizational structure

Location management feature can be used to add, delete, edit a location. Locations include e.g. country, region, city, and building. They can be made into hierarchical structures to which keys can be assigned.
A hierarchical structure can be created freely, although we recommend that the structure is created in a way that supports access rights.
For example the following structure “Country ---> Cities -> Building -> Apartment”, provides access rights so that the user who has the rights to manage the keys at the city level in the program, gets access rights to all the buildings and apartments that are under that city. In other words, the user sees the objects to which they are entitled.


3. Key management

The key management feature allows you to add, delete, edit keys and see all company keys in a list. The list can be filtered or searched by location or even by search criteria.
The basic user of the program will only see the keys to which he is entitled.


4. Key processing (handover/return)

Whenever a key handover is made in the register program, a “contract” is created. The contract includes information about the recipient and how long the key can be held by the recipient. The contract may contain one or more keys. A transfer agreement can also be created in advance. Acknowledgment of a key transfer agreement can always be assigned to different levels, ie either to the entire company or to a location or to a key.
The key is signed as received by the key recipient in the following ways:
● If the key is handed over manually, the “owner” of the key (program user) creates a transfer agreement in the program and the recipient of the key (key user) acknowledges the key with a signature on the “owner” (program user) ipad or android tablet.
● If the key is manually returned to the “owner” of the key, the “owner”  will mark in the program that the key has been returned.
● If the key is handed over using the LivionKey automat, the handover agreement is created and attached in the program to the desired automat and locker. In this case, the key fetch and return entries take place automatically in connection with the handover or receipt operations performed by the automat.

The recipient of the key always receives receipt about the key event by e-mail after the key has been fetched or returned.

 


5. Alarms

In case the key is not returned on time an alarm will be created from the event, which can also be seen in the program. Alarm information can be sent also by e-mail or SMS message to the selected users. 
All the alarms can be seen as a list in the program, which shows the active alarms and the alarm history.


6. Event logs of key processing

From the program's event logs, you can see key handovers and returns, you can check the history for each key, and view information related to the events.


7. Reports

a. The organization usage report shows an overview of key management at the selected organization unit level.

b. The buildings usage report shows an overview of key management at the selected organization level by building.
